Privacy Notice
This notice explains what personal information Mary E Luxury Apartments collects, why we collect it, who we share it with and how long we keep it.
We collect only the personal information reasonably necessary to answer your enquiry, prepare a quotation, take and manage a reservation, take payment, communicate with you, provide accommodation, keep the Property secure, maintain our accounting records and meet our legal obligations.
We do not sell guest information.
What we collect
- Your name and contact details — email address, telephone number and, where relevant, a postal address.
- Details of your stay — the apartment, the dates, the number of guests and any requests or requirements you tell us about.
- Messages between you and us, including email, telephone notes and messaging apps.
- Quotation, invoice, receipt and payment records — the amount, date, status, reference, method, and any refund or reversal.
- Check-in information where we are required to record it.
- Technical and security information where applicable, such as records of access to our systems.
Payment information
We do not store your full payment card number or card security code in our accommodation system, and we do not ask you to send card details to us by email or messaging app.
Where a payment provider, bank or booking platform is involved, that organisation processes the sensitive card or bank credentials under its own arrangements.
What we retain is the transaction information we need to reconcile the payment: the amount, the date, the status, a reference, the method, and any refund or reversal.
Why we hold it
We hold your information in order to:
- respond to an enquiry and prepare a quotation;
- take, confirm and manage a reservation;
- take payment and keep accurate financial records;
- communicate with you before, during and after your stay;
- provide the accommodation and any services you have asked for;
- keep the Property and the people in it safe and secure;
- keep the accounting and business records we are required or reasonably need to keep;
- meet our legal and regulatory obligations.
Who we share it with
We disclose personal information only where it is reasonably necessary, and only to:
- service providers who act for us, such as our booking and website systems;
- banks and payment processors, in order to take or refund a payment;
- booking platforms, where your reservation was made through one;
- professional advisers and insurers, where reasonably necessary;
- regulators, public authorities and law enforcement, where we are lawfully required or permitted to do so;
- a service provider you have asked us to arrange something with, such as a transfer or an excursion.
Information about other people
If you book for other travellers, please share this notice with them. We assume that you have their agreement to give us their details.
Where a booking includes children, we collect only what is needed for the stay, and that information is held on the same basis as everything else in this notice.
How long we keep it
We keep personal information only as long as reasonably necessary for the purpose it was collected for, and for the period we need it for our operational, accounting, security, legal and record-keeping obligations.
Financial records are kept for the period required for accounting and tax purposes. Enquiries that do not become bookings are kept for a shorter period.
Your requests
You may ask us what information we hold about you, and ask us to correct it if it is wrong.
You may ask us to delete information, and we will do so where we are able to. We will not promise deletion of information we are required to retain — for example a financial record — and we will tell you if that is the reason.
How we protect it
We apply reasonable technical and organisational measures to protect personal information.
Access to guest information is restricted to people who need it for their role, and what they can see and do depends on that role. Access to our systems is logged.
Cookies and similar technologies
Our website uses only what it needs to work: session and security technologies that keep a booking session working and protect against misuse.
